Share a table

Sharing a table lets someone use it in their own models without opening yours. They import it, and from then on they read its release: the version you chose to publish, not your work in progress.

Table shares are how one team hands data to another. Finance can build on Sales's Orders table, link it to their own Invoices, and keep reading the numbers Sales released, however much Sales reworks the table in the meantime.

Release first

People you share a table with only ever get its released versions. So a table needs a release before it can be shared. If it has none, the share dialog says so and offers Add a release: give it a name, such as v1.0, and the current version is released. Then share.

When you release a newer version later, everyone who imported the table sees Sync to latest release on their copy and moves to it when they are ready.

Share a table

  1. Select the table on the canvas.
  2. Choose Manage Access on the action bar.
  3. Enter one or more email addresses and pick a permission.
  4. Confirm.
PermissionThey can
Can ImportImport the table into their own models
Can ShareImport it, and share it on. Whoever they share with gets Can Import.

Only the table's owners, the owners of its model, can give Can Share or remove access.

Some tables cannot be shared: tables a recipe writes, and tables in a Sealed space.

Requests for access

If someone can see a table but is not allowed to import it, for example a viewer of its model, dragging it onto their own canvas sends its owners a request instead. They see Requested access … pending approval, and the table arrives once an owner shares it.

Owners get a notification with Accept and Decline, and the table's details list waiting requests under Import Requests.

Revoke access

Open the person's row in Manage Access and choose Revoke Access. As the dialog says, their existing imports will become read-only stubs: the table stays on their canvas, marked as no longer accessible, without its rows.

Move a table to another model

A table you own can move into another model you own. Choose Transfer Ownership from the table's ⋮ menu; it opens Move table.

  1. Pick the organization first, then the model. The picker marks destinations the table cannot go to, and says why.
  2. Read what the move would change. A move into another organization can cut links whose other end stays behind; the dialog counts them before you confirm, and removes exactly those.
  3. Confirm.

A table read through a connection moves only within its connection's organization, and a table in an organization other than a personal one cannot leave it.
