Filter and sort
A filter narrows a view to the rows you care about, and a sort puts them in order. Both belong to the view, so they change what that view shows, never what the table holds.
Because filters and sorts live on the view, the same table can sit on the canvas twice with a different filter on each, and your filter never changes what a colleague's view shows. Nothing is deleted: clear the filter and every row comes back.
Sort
- Point at a column's header. Two small arrows appear at its top right.
- Click the up arrow to sort ascending, or the down arrow to sort descending.
The sorted column keeps its arrow. Point at it to switch to the other direction, or click the active arrow again to remove the sort. A view sorts by one column at a time, and empty cells always come last.
Filter
- Select the view on the canvas.
- In the details pane, click Add Filter.
- Build one or more conditions.
- The view updates as the filter changes.
Once a filter exists, the button reads Edit Filter, and Delete Filter beside it removes the filter and shows every row again.
Conditions
A condition is a column, an operator, and usually a value.
| Operator | Applies to | Matches |
|---|---|---|
| Equal | Any column | Exactly the value given |
| Not Equal | Any column | Everything except that value |
| Greater Than | Numbers, dates and times | Strictly above |
| Greater Than or Equal | Numbers, dates and times | At or above |
| Less Than | Numbers, dates and times | Strictly below |
| Less Than or Equal | Numbers, dates and times | At or below |
| Contains | Text, lists and Select columns | The value appears in the cell |
| Not Contains | Text, lists and Select columns | The value doesn't appear in the cell |
| Is Null | Any column | The cell is empty |
| Is Not Null | Any column | The cell holds something |
| In | Any column | Any value in a list you give |
| Not In | Any column | None of the values in the list |
In and Not In take several values at once, the quickest way to pick out a handful of known values. Is Null and Is Not Null take no value.
Text comparisons have a case-sensitivity switch. Left off, ACME and acme match.
A Select column offers its labels in a picker, so you choose from what the column can hold instead of typing a value it never will. For a cell with several labels, Contains tests whether the label is among them.
Combine conditions
Conditions sit in a group, joined by AND or OR:
- AND: every condition must match.
- OR: any one is enough.
Groups nest inside other groups, so you can ask for "status is Active and (region is EU or priority is High)", which a single flat list of conditions can't express.
What a filter and a sort affect
- The row count under a filtered view counts the matching rows.
- Exports follow the filter. Exporting a filtered view as CSV or Parquet gives you the rows the view shows, not the whole table. It is the simplest way to extract a subset without making a new table. See Export data.
- Edits still land in the table. Editing a row in a filtered view changes it in every view of the table.
- Other views are untouched. Each view keeps its own filter and sort.
A Select label can't be removed while a filter uses it. See Select columns.
